Requisition User Manual

Introduction

This manual provides step-by-step guidance for creating, submitting, and managing purchase requisitions within the system. 

Configuration


Approval Types

In the Configuration → Approval Types, user can configure different approval types as per their requirements:



 

In the Configuration → Approval Types, users can create approval types by clicking on new button.

 



In the Configuration → Approval Types, users can configure different settings for an approval type such as description, code and select approval action based on the approval type.




In the Configuration → Approval Types, users can select approvers hierarchy for the approval type.




Methods of Procurement

In the Configuration → Method of Procurement, users can create methods of procurement.




In the Configuration → Method of Procurement, users can create methods of procurement by clicking on the New button




In the Configuration → Method of Procurement, users can select different options for the method of procurement like name, maximum and minimum values for quotation and minimum quotations for it. 




Manager

In the Manager→ Approvals to Review, Managers can see all the approvals submitted for review here.




In the Manager→ All Approvals, Managers can see all the approvals for here.




My Approvals 

In the My Approvals → New Request, Users can create a new request in an approval type.



In the My Approvals → New Request, Fill in fields like Request Owner, Approval Action, Location, Remarks, Donor, and Project.



In the My Approvals → New Request,Products tab, select the items to be purchased with details like Quantity and Expected Unit Price


In the My Approvals → New Request,Description Tab, users can add more details or comments related to the requisition.



In the My Approvals → New Request,Once the form is filled, click Submit to send the request for approval.




In the My Approvals → New Request,Select the Method of Procurement (e.g., One Quotation, Three Quotation,Tender, etc.). 





In the My Approvals → New Request,The Manager reviews and approves the request.

After approval, a "Create RFQs" button appears on the form.



In the My Approvals → New Request,Click on "Create RFQs" to open a new window showing available vendors Click on add line to.Select the vendors from the list based on the chosen products and click "Select".







In the My Approvals → New Request,The system automatically generates Requests for Quotations (RFQs) for the selected vendors




In the My Approvals → New Request,In the Notesheet tab, managers can see the approval hierarchy, from submission to final approval. 



In the My Approvals → Under My Approvals, users can view and track the status of their approval requests.
